Earlier this month, the Dean’s Office invited administrative staff from the secretariats of all institutes of the Faculty of Physics and Astronomy to a first faculty-wide gathering in the Gold Box. The aim was simple: to get to know one another, put faces to names, and create opportunities for exchange across institutional boundaries.
With institutes and affiliated research centres spread across Heidelberg, many secretariat staff work on similar topics and face similar challenges, yet rarely have the opportunity to meet in person. The gathering provided a welcome opportunity to share experiences, discuss everyday administrative practice, and establish new connections.
The response was overwhelmingly positive. Conversations quickly developed around common challenges, successful solutions, and the many tasks that keep research and teaching running smoothly behind the scenes. Just as importantly, participants had the chance to meet colleagues they had often interacted with for years only by email or phone.
The meeting also marked the beginning of SAPHYR – the Secretariats of Astronomy and Physics Round Table. Going forward, the group will meet once per semester, with meetings rotating between different institutes and locations across Heidelberg. In this way, SAPHYR will not only strengthen professional exchange but also offer insights into the remarkable diversity of the faculty and its research environment.
In keeping with the group's name, every participant received a small artificial sapphire at the end of the event. With a bit of luck, one may now be spotted in offices throughout Heidelberg – a small reminder of a community that has come together and is already looking forward to its next meeting.
